- information submitted through Trusted Trader applications;
- event information and organiser details submitted through the Event Submission form;
- emails, enquiries, complaints, reports and other correspondence;
- supplier, partner, sponsorship or affiliate-enquiry information;
- technical information needed for website security and operation;
- cookie and analytics information where those technologies are enabled and permitted.
We do not ask users to send passwords, payment-card PINs or one-time security codes.
3. Why we use personal information
We may use information to:
- review and administer Trusted Trader applications and status;
- review, verify and publish approved event submissions;
- respond to enquiries, complaints or Marketplace reports;
- manage community safety, moderation and fraud-prevention concerns;
- manage supplier, affiliate, sponsorship or commercial relationships;
- maintain records of decisions, approvals, complaints and correspondence;
- operate, secure and improve the website;
- comply with legal, tax, accounting or regulatory obligations where applicable.
4. Our legal bases
Depending on the activity, Just T4s may rely on one or more lawful bases under UK data-protection law:
- Legitimate interests for operating and protecting the community, reviewing applications, responding to enquiries, keeping proportionate records and preventing misuse.
- Contract or steps before entering a contract where information is needed to manage an agreed commercial, supplier, affiliate or sponsorship arrangement.
- Consent where consent is specifically requested, such as certain optional marketing or non-essential cookies.
- Legal obligation where records must be kept or information must be processed to meet a legal requirement.
Where we rely on legitimate interests, we aim to use information in a way that is proportionate and reasonably expected in the circumstances.
5. Trusted Trader information
Trusted Trader applications may include business identity, contact information, trading history, insurance information, reputation or review links, complaint declarations and other information relevant to the application.
Approved traders may have selected business information published publicly, including business name, Trader ID, status, location/service area, services and business contact or website links.
Information supplied for verification is not automatically published in full. Sensitive supporting documents, if requested, should be handled privately and only retained where needed.
6. Event submissions
Event submissions may include organiser name, contact details, event dates, venue, location, facilities and public booking or social links.
Approved event information may be published on the Just T4s website or community channels. Private contact details will not be intentionally published unless they were supplied as public event contact information or permission has been given.
7. Who information may be shared with
We may use trusted service providers to operate the website and communications, for example web hosting, WordPress plugins, email services, security services and future automation or storage services.
We may also disclose information where reasonably necessary to comply with law, respond to fraud or security concerns, establish or defend legal claims, or protect users and the community.
We do not sell personal information to advertisers.
8. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including record-keeping, dispute handling and legal obligations.
As an operational starting point, Just T4s may use the following review periods:
- general enquiries and routine correspondence: normally reviewed for deletion after 24 months;
- unsuccessful or withdrawn Trusted Trader applications: normally reviewed after 12 months;
- approved Trusted Trader records: for the period of approval and for a reasonable period afterwards to preserve status, complaint and ID history;
- event submissions: normally retained through the event and reviewed for deletion or archival within 24 months afterwards;
- commercial or financial records: retained for the period required by applicable accounting, tax or legal obligations.
These periods may be shortened or extended where there is a valid reason, such as an active complaint, legal dispute or fraud concern.
9. Cookies and similar technologies
The website may use strictly necessary cookies or similar technologies for functions such as security, forms and website operation.
If non-essential analytics, advertising or similar technologies are introduced, users should be given clear information and an appropriate choice before those technologies are used where consent is required.
10. Your rights
